This policy explains how Vincere Web Solutions handles personal information submitted through this website, including contact forms, quote forms, telephone calls and email enquiries.
Vincere Web Solutions is responsible for the enquiry information it decides to collect and use. Its full legal identity, trading status and service address must be confirmed in this policy before the public website is launched. Enquiries and information collected
When you use the enquiry form, we collect your name, business name if supplied, client type, email address, optional telephone number, optional existing website address, project requirements, selected service details, budget indication, preferred contact method and the page from which the form was submitted.
The form records a reference number, submission time, privacy-notice version and operational delivery status so that the enquiry can be responded to and followed up reliably. We do not use the acknowledgement tick box as marketing consent.
Please do not send passwords, payment-card information or unnecessary sensitive personal information through an enquiry form or ordinary email.
Why information is used
Enquiry details are used to respond to your request, discuss your project, prepare a quotation, protect the form against abuse and provide services if you choose to proceed. The intended lawful basis is taking steps at your request before entering into a contract and, where appropriate, Vincere Web Solutions' legitimate interests in running and protecting its business. This basis must be confirmed by the business owner or privacy adviser before launch.
We do not sell personal information or use it for unrelated marketing. We will ask separately before adding you to any marketing list where consent is required.
Service providers and transfers
A live enquiry may be processed by the website host, restricted lead database, transactional email provider, anti-bot provider and an approved CRM. The live provider names, their data-processing terms, access controls and any international-transfer safeguards must be recorded in Vincere Web Solutions' data inventory before the form is made public.
The current implementation is configured to support Resend for transactional email and Cloudflare Turnstile for anti-bot verification only after their accounts, contracts, privacy information and server-side credentials have been approved. A CRM is not currently configured.
Retention and security
Enquiry details are kept only for as long as needed to respond, prepare a quotation, meet legal obligations or maintain reasonable business records. Vincere Web Solutions must approve and publish the retention criteria for inactive enquiries and converted clients before automatic deletion is enabled.
Access to enquiry information is limited to authorised people and suppliers needed to respond and deliver agreed services. The system uses restricted server-side processing, abuse controls and an operational audit trail. Production storage, backups, staff accounts and provider accounts must use appropriate access controls and encryption.
Your rights
People in the UK have rights over their personal data, including rights to access, correction, deletion, restriction and objection in certain circumstances.
To exercise privacy rights, email vincerewebsolutions@gmail.com. Vincere Web Solutions will verify the request and respond under its documented privacy-request process. You may also raise a concern with the UK Information Commissioner's Office if you are unhappy with how your information has been handled.
Pre-launch review
This policy is a UK-oriented operational draft, not legal advice. Before public launch, the business owner or qualified adviser must complete the controller identity and address, approve the lawful basis and retention periods, verify every live processor and international-transfer position, and review the final wording against the deployed hosting and form configuration.
